How to Compare Wedding Venues EASILY!

At some point in wedding planning, almost every bride ends up here...

You have a few venues you really like.

-Maybe one has gorgeous photos.

-Another one is cheaper.

-Another one is closer to family.

And now you're wondering...

"How am i supposed to choose?"

If that's where you are right now, don't worry.

I'm going to make this really simple.

So by the end of this blog post, you'll have a clear way to compare your options side by side and figure out which venue actually makes the most sense for your wedding.

Step 1: Write Down Every Venue You're Seriously Considering.

First things first...

Don't compare venues in your head.

It sounds obvious, but this is where you'd get stuck.

When everything stays in your brain, every venue starts blending together.

So what i want you to do is grab a notebook, spreadsheet, or even a piece of paper.

Across the top, write the names of the venues you're considering.

It should look something like this:

What You're Comparing │ Venue A │ Venue B │ Venue C

.

Now we're going to go through each category

(Location, What's Included, Total Cost, Guest Comfort, Capacity, Weather Backup, Accessibility & Availability).

and give every venue a score from 1–5.

-A score of 1 means it doesn't work very well for you.

-A score of 5 means it checks almost every box.

Don't overthink it.

You're simply trying to see which venue consistently checks the most boxes.

Step 2: Compare the Location

It's very easy to focus on how pretty a venue is.

But your guests care more about how easy it is to get there.

Think about things like:

  • How far guests will need to travel.

  • If it's close to an airport

  • If there are hotels nearby.

  • If those hotels are actually affordable

  • If taxis or rideshares are available

  • If guests can easily find the venue

  • finally if the area feels safe and convenient.

And if many of your guests are travelling from out of town, location becomes even more important.

You also have to think about what guests will do outside of wedding events.

If they're staying for a weekend, are there restaurants, attractions, shops, or places to explore nearby?

Then give each venue a score.

A venue that is easy to reach, close to hotels, and convenient for guests might earn a 5.

While a venue that's difficult to reach, far from accommodations, or inconvenient for most guests might earn a 2 or 3.

Step 3: Compare What Is Actually Included.

Two venues can have similar prices but provide completely different things.

Now look at what comes with the venue..

So;

  • Tables

  • Chairs

  • Linens

  • Setup

  • Cleanup

  • Staff

  • Coordination

  • Security

  • Backup power or generators

  • Bridal suites

  • Ceremony spaces.

The more things included, the less you'll have to rent separately.

A venue that includes almost everything should earn a 5.

A venue that provides very little and requires lots of extra rentals should earn a 2 or 3.

Add your scores to the book.

Step 4: Score the Total Cost.

The advertised price isn't always the final price.

Ask about:

  • Service fees

  • Cleaning fees

  • Overtime charges

  • Corkage fees

  • Security deposits

  • Damage deposits

  • Taxes

  • Gratuities.

A venue with clear pricing and very few surprise costs may earn a 5.

A venue with lots of hidden fees may earn a lower score.

Write your scores down.

Step 5: Think About Guest Comfort.

Imagine your wedding day from your guests' perspective.

Not your perspective.

Theirs.

Will older family members be comfortable?

Will guests have enough seating?

Will they spend half the day walking between locations?

Will they be standing outside in extreme heat?

Will there be enough parking?

Will they have access to restrooms nearby?

A comfortable guest is a happy guest.

So think about it and score appropriately.

Step 6: Score the Venue's Capacity.

There's a difference between a venue's maximum capacity and its comfortable capacity.

A venue might technically hold 250 people.

That doesn't mean 250 people will fit comfortably.

Ask to see examples of real weddings with guest counts similar to yours.

And think about:

  • Seating arrangements

  • Dance floor space

  • Buffet space

  • Bar lines

  • Walking paths

You want the room to feel full and lively, not cramped.

A venue that comfortably accommodates your guest count should earn a 5.

A venue that feels cramped may earn a 2 or 3.

Write down your scores.

Step 7: Score the Weather Plan.

Season matters.

A lot.

If you're planning an outdoor wedding, ask questions like:

  • What happens if it rains?

  • Is there an indoor backup option?

  • Is there enough shade during hot weather?

  • Are there heaters for colder months?

  • Are roads affected by seasonal weather?

Even if you're getting married during a season that's usually predictable, it's still smart to have a backup plan.

So yeah, write down the scores too.

Step 8: Score Accessibility

Think about your grandparents, older relatives, guests with disabilities, and parents with strollers.

Ask:

  • Are there ramps?

  • Are there elevators?

  • Are restrooms accessible?

  • Is parking convenient?

  • Are pathways easy to navigate?

The easier the venue is for all guests to enjoy, the higher the score should be.

Write it down.

Step 9: Score Availability.

Ask:

  • Is your preferred date available?

  • Are there nearby alternatives?

  • How quickly do you need to book?

  • Do they host multiple weddings per day?

A venue that works perfectly with your timeline may earn a 5.

A venue with limited availability may earn a lower score.

Add your final scores to the chart.

Step 10: Add Everything Up.

Now total the scores for each venue.

And if two venues are still tied?

Look at your highest-priority categories.

Maybe location matters more to you than capacity.

Maybe guest comfort matters more than price.

Use those priorities as the tie-breaker.

So yeah, these are the 10 things that I actually feel are worth it.

The nice thing is that all of them are pretty simple and not complicated.
